Follow-up emails after a meeting: a guide and templates

Writing an email on a laptop

The meeting is over, everyone shakes hands, and then nothing happens. The reason is usually simple: nobody sent a follow-up. A well-written email after a meeting is often what decides whether the agreed things actually get moving or quietly fade away.

Why the follow-up matters

After a meeting, every participant has a slightly different version of what was agreed in their head. The follow-up merges those versions into one, written and shared. It also keeps people accountable: when a task is there in black and white in an email, it is harder to forget. And in sales it keeps up contact and momentum while the interest is still fresh.

When to send it

The rule is: as soon as possible, ideally within 24 hours. Best of all right after the meeting, while everything is still fresh in your mind. Every day of delay lowers the chance that someone reads it with full attention, and signals that you do not care that much.

A structure that works

Short but complete. A proven outline:

A good follow-up does not end with “let me know”. It ends with a specific next step, and you know when and how it will happen.

Template: internal meeting

Subject: Meeting summary, [topic], [date]

Hi everyone,
thanks for today’s meeting. A quick summary and tasks:

What we agreed:
• …

Tasks:
• [Name]: [task] by [date]

Next time: [date / what we will settle]

If anything doesn’t look right, let me know.

Template: after a call with a client

Subject: Thank you for today’s call, next steps

Dear [name],
thank you for taking the time today. Here is a summary of what we agreed:

• …

How we will proceed:
• Me: [what you will send / prepare] by [date]
• You: [what is up to the client], if possible by [date]

I will be in touch [when]. If you need anything sooner, I am available.

Kind regards,

A common mistake: an email that is too long

The temptation is to write down absolutely everything. But the longer the email, the smaller the chance anyone reads it to the end. Stick to the essentials: the summary and the tasks. If you need to pass on details, put them in an attachment or a link, not in the body of the message.
