What’s new in ZAPSIO: client portal, calendar and smarter tasks

We improve ZAPSIO practically every week, based on what we hear from you. Here is an overview of the biggest recent updates: from sharing meetings with clients to smarter task management. Everything is already live and available to you.

Client portal: one secure link to all your shared meetings

Until now you sent your client the notes from each meeting separately. Now you just send them one link where they see an overview of all your meetings together, with summaries, key points and tasks. No login, read-only.

For each contact you also choose what the client gets to see. Want to share only the summary and tasks, but not the full transcript? Just flip a switch. You can turn the link off anytime, and it stops working immediately.

Calendar and task board

There is a new monthly calendar where, alongside your meetings, you can add your own events and notes and drag tasks onto a specific day. You can also share the whole calendar via a link.

For working with tasks across all your meetings there is a new board (Kanban): columns To do → In progress → Done, drag and drop, edit and delete. All your tasks from the whole month are in one place, not scattered across individual meetings.

The goal is still the same: a meeting should leave you not just with nice notes, but with a clear plan you can act on right away.

Smarter tasks with priorities

AI now estimates a priority for each task, urgent, medium or eventually, and sorts tasks accordingly. Whatever is on fire is at the top. Of course you can change the priority and the deadline in one click.

Plus a deadline tracker: ZAPSIO alerts you by email to upcoming and overdue tasks, so nothing slips through.

Two-factor authentication (2FA)

For companies that want their account under lock and key, we have added two-factor authentication via an authenticator app (Google Authenticator, Authy and others). Turn it on in Settings in a minute, and the next time you sign in you will enter a one-time code along with your password.

And that’s not all

On top of that, we keep fine-tuning transcription accuracy, and we have added dark mode, a custom vocabulary for company terms and a translator into dozens of languages. Many features were suggested by you; if something is missing, write to us. We read every message.
